Maintenance Coordinator

Role Summary
The Maintenance Coordinator helps ensure our production equipment operates safely, efficiently, and reliably. This role supports preventive maintenance planning, work order coordination, spare parts management, and communication between Maintenance, Production, and external service providers.
In our growing manufacturing environment, you will help build and organize maintenance systems that reduce downtime and support operational excellence. This position is ideal for someone who is organized, technically minded, and comfortable working closely with plant teams in a hands-on production setting.
Key Responsibilities
Maintenance Planner: Drive structured preventive and corrective maintenance execution.
Schedule and track preventive maintenance (PM) activities across production equipment.
Create, prioritize, and manage work orders aligned with production schedules.
Coordinate corrective maintenance to minimize downtime and ensure timely resolution.
Monitor open work orders and escalate delays when necessary.
Ensure maintenance tasks are completed on schedule and properly documented.
Systems & Documentation Owner: Maintain accurate maintenance data and performance visibility.
Maintain accurate maintenance records within the CMMS or ERP system.
Track equipment history, downtime trends, and reliability metrics.
Support development and standardization of maintenance procedures.
Generate reports to monitor equipment performance and maintenance KPIs.
Spare Parts & Inventory Owner: Proactively manage parts planning to reduce downtime and emergency purchases.
Manage spare parts inventory, including ordering, tracking, and replenishment.
Partner with Procurement to ensure availability of critical components.
Establish minimum stock levels for high-risk or high-failure parts.
Reduce emergency purchases through proactive planning, consignment programs, and OEM partnerships.
Coordinate with equipment manufacturers (OEMs) to manage inventory under service agreements.
Vendor & Contractor Coordinator: Manage external service partners for reliable operations.
Schedule and oversee external contractors and service technicians.
Ensure contractors comply with plant safety and operational standards.
Maintain service documentation for inspections, certifications, and compliance requirements.
Reliability Partner: Support production performance and continuous improvement.
Collaborate with Production to align maintenance schedules with manufacturing plans.
Communicate downtime, repair timelines, and equipment risks clearly to stakeholders.
Support root cause analysis for recurring mechanical or electrical failures.
Participate in reliability and uptime improvement initiatives.
Safety & Compliance Champion: Protect people, equipment, and regulatory integrity.
Ensure maintenance activities comply with OSHA and plant safety standards.
Maintain inspection logs and required compliance documentation.
Support Lockout/Tagout (LOTO) procedures and safety training documentation.
Qualifications
Required
2+ years of experience in maintenance coordination, planning, or industrial maintenance support.
Experience working in a manufacturing or industrial environment.
Familiarity with CMMS or ERP systems for maintenance tracking.
Strong organizational and documentation skills.
Ability to understand basic mechanical and electrical terminology.
Proficiency in Microsoft Office, especially Excel.
Preferred
Experience in food or CPG manufacturing.
Knowledge of preventive maintenance programs and reliability best practices.
Technical background in mechanical or electrical systems.
Experience supporting multi-shift operations.
